There’s been a lot of noise lately about Microsoft’s deprecation of Basic Authentication and how it will impact SMTP servers — especially regarding scan-to-email functionality on office copiers and MFPs. Some providers are sounding the alarm, claiming that scan-to-email will “break” come September. But let’s clear the air.

What’s Actually Happening?
Microsoft is phasing out Basic Authentication in favor of OAuth 2.0, a more secure method of authentication. This change affects how devices like copiers and scanners connect to Microsoft 365 to send emails — particularly via SMTP servers. This change only affects your copier if it is using Microsoft to send emails. It does not affect the ability to receive emails via Outlook sent from the copier.
Originally, this change was scheduled for September 1, 2025, but Microsoft has since pushed the deadline to March 1, 2026 (and even further for some protocols).
What We’ve Done About It
